In the digital age, where efficiency dictates success, precise workflow management is essential for IT teams striving to meet their goals and deliver exceptional services. UDig recently had the opportunity to collaborate with a client to enhance one of their business systems support team’s workflow management processes. This post highlights the transformation achieved through our strategic interventions. 

Client Challenges

The client’s team was tasked with providing ten crucial support services to its business stakeholders. Despite their commitment, the team grappled with several challenges:

  • Unstructured Processes: Several services lacked formal intake processes, causing inefficiencies and delays. 
  • Coordination Issues: Frequent coordination with multiple stakeholders without capturing essential data upfront led to delays. 
  • Unclear Responsibilities: Overlapping duties among Leads, Engineers, and Coordinators muddled task management. 
  • Limited Visibility: Management faced difficulty gauging their team’s current workload, which hampered effective capacity management and task prioritization. 

Strategic Solutions & Implementations

To combat these inefficiencies, we introduced a series of enhancements: 

  • Formalized Intake Process: We used the ServiceNow Visual Task Board to bring structure to the intake process. Vertical lanes and horizontal swim lanes were utilized to ensure all requests were systematically tracked and groomed. 
  • Role Clarity: We mapped out clear roles using best practices from the Kanban framework, ensuring each team member knew their responsibilities, from the time a task was requested of the team, through task assignment and Service Delivery. 
  • Enhanced Workflow Visualization: The introduction of a Freeform Visual Task Board improved the visualization of “in scope” tasks aiding in better task organization and prioritization. The team has also been able to identify and now redirect out-of-scope work freeing up team capacity. 
  • Daily Management Routines: We established rigorous daily and after-meeting routines to swiftly address blockers and reassess task priorities, keeping the team agile.

Impact of Our Workflow Enhancements

Post-implementation, the client has begun to observe significant improvements: 

  • Streamlined Task Management: The new structured approach streamlined the workflow from task intake to completion. 
  • Increased Transparency: Clear role definitions and the visual task board enhanced task visibility, enabling better capacity planning and individual accountability. 
  • Proactive Blocker Resolution: The introduction of swarming techniques and daily update routines allowed the team to quickly address and resolve blockers, maintaining steady workflow momentum. 
  • Continuous Improvement: Regular reviews of the workflow processes are cultivating a culture of continuous improvement, driving further efficiencies.

Our targeted interventions have refined the team’s workflow and empowered them to deliver higher-quality services more efficiently.
